Executive Assistant to the General Manager - Mozambicans only
Document management including filing, updating, tracking, formatting and distribution to appropriate recipients
Agenda maintenance including the scheduling of meetings, confirmation of attendance, facilities, date and time
Calendar maintenance including departmental leave schedule
Ensuring confidentiality of department communications and company information as well as respect the privacy of sensitive personnel data.
Recording and distribution of meeting minutes as required
Arranging and administering travel
Maintaining and developing filing and administration systems.
Administering invoices and expenses.
Improving management support in a proactive way.
Ensuring continuity during absence of Staff Director and Deputy MD and or Team members by being involved and fully aware of departmental matters, taking own initiative and seeking advice if necessary.
Serving as a key point of contact for Staff Director and Deputy MD and the department.
Handling Managerial and departmental correspondence including directing communications to appropriate recipients and providing relevant information.
Producing and providing reports, presentations and other departmental informat
Demonstrate a positive and pro-active commitment to HSE through the personal application of safety critical behaviours
Compliance with Republic of Kazakhstan Statutory HSE Regulations, Codes and Standards
Applying’s HSE Policies & Management System Requirements
Supporting/ Participating in Emergency Drills and Exercises as require
Reporting all Accidents/ Incidents and Unsafe Acts/ Conditions in a timely manner.
Minimum of 5years experience in similar position.
Bsc Degree from a reputable institution preferable.
